Adding Internal Signatures on Exchange 2010 for a Distribution List

The below article explains how to add internal signature to a distribution list on Exchange 2010.

  1. Decide what information you require on internal signatures.  Once that has been decide you will need to modify the below piece of HTML with only the information you require on internal signatures.

    For instance if you only require;

    • Staff Name
    • Title
    • Phone
    • Country

    The HTML would look like:

  3. Login to your Exchange Management Console
  4. Click on the Distribution Group option under Recipient Configuration and click New Distribution Group

  5. Choose “New Group” and click Next >

  6. In the name field add “Black Pearl Mail - Group” and in the alias enter “BPMGroup”

  7. Click Next >
  8. Click New

  9. Click Finish
  10. Click on the Hub Transport option under Organization Configuration

  11. Click on Transport Rules
  12. Click New Transport Rule
  13. Call the New Transport Rule “Internal Signatures - Pilot”

  14. In the Conditions box check the “sent to users that are inside or outside the organization, or partners” option and make sure the option is set to “Inside the organization”

  15. Also check the “from a member of distribution list” option
  16. Click “distribution list” in step 2
  17. Add the distribution list in the box
  18. Click OK
  19. Click Next >
  20. In the Actions box check the  “append disclaimer text and fallback to action if unable to apply”

  21. Click on the “disclaimer text” in step 2
  22. Copy and paste the HTML snippet that you modified earlier into the disclaimer text box

  23. Click OK
  24. Click Next >

  25. Click Next > again
  26. Click New

  27. Click Finish

  28. Now you just need to add users to the distribution list
