Adding Internal Signatures on Exchange 2010

The below article explains how to add an internal signature to all Exchange users in Exchange 2010.

  1. Decide what information you require on internal signatures.  Once that has been decide you will need to modify the below piece of HTML with only the information you require on internal signatures.

    </table>

    For instance if you only require;

    • Staff Name
    • Title
    • Phone
    • Country

    The HTML would look like:

  3. Login to your Exchange Management Console
  4. Click on the Hub Transport option under Organization Configuration

  5. Click on Transport Rules
  6. Click New Transport Rule

  7. Call the New Transport Rule “Internal Signatures” and click Next >

  8. In the Conditions box check the “from users that are inside or outside the organization, or partners” option and make sure the option is set to “Inside the organization”

  9. Also check the “sent to users that are inside or outside the organization, or partners” option and make sure the option is set to “Inside the organization”
  10. Click Next >
  11. In the Actions box check the  “append disclaimer text and fallback to action if unable to apply”

  12. Click on the “disclaimer text” in step 2
  13. Copy and paste the HTML snippet that you modified earlier into the disclaimer text box

  14. Press OK
  15. Click Next >
  16. In the exceptions box check the "except when the Subject field matches"
  17. Click on the exception text and enter "^re:|^fwd:|^fw:|^re;|^fwd;|^fw;" in the popup box
  18. Press OK
  19. Click Next > 
  20. Click New

  21. Click Finish

  22. Internal email will now have email signatures
